OVERVIEW OF THE PROMOTION:

For Function venues, it is important to connect with your local businesses who will be booking Christmas functions ahead of their decision making process. Quite often, companies will look to book their Christmas functions directly after EOFY as soon as budgets are established, to ensure that their preferred dates and venues are attained.

Being on the front foot will ensure you are front of mind to your potential function client

Consider the following activities:

Database Maintenance:

  • Ensure all current contacts on your database are current, by calling each client and updating where necessary

Increasing Your Database:

  • Business Card Draw
  • Cold/warm calling local businesses
  • Ensure all past clients are in your database
  • Contact local chamber of commerce for local business list
  • Physically walk around to local businesses

COST TO A&M: These activities will not incur an A&M cost but may required additional labour. Please speak to your AM if this is the case.

BOOK NOW:
DETAILS: If you are confident that your venue does not need a promotional offer to encourage Christmas bookings, it may be as simple as adding a “Book Your 2013 Christmas Party Now – Dates Filling Fast” reminder on your function webpage, or e-flyer to your corporate database.

If you have undergone renovations, or refurbishments in 2013, it may be appropriate to showcase your new functions space and package with a simple Christmas functions call to action.

COST TO A&M: Dependent on associated POS, e-flyer designs, venue photography etc.

‘BOOK NOW’ EARLY BIRD OFFERS:
DETAILS: Offering incentives to book before a certain date can encourage functions at the enquiry stage to lock in their event. This is best suited to venues who have specialised function areas.

  • An extra free half/full hour on your beverage package
  • 10% of your catering bill
  • Free room hire
  • Free karaoke / DJ for your event
  • Free theming/decorations (to an agreed value)
  • Complimentary shuttle bus from the office
  • Wait staff at no additional cost
  • Free professional photographer
  • Free bottle of champagne for the function client

Understanding the booking motives of your corporate market will ensure that you select the right promotional offer to suit their needs. Understanding whether they driven by a lean budget, value for money, or inexperience with event planning and want your venue to look after all details should lead you to the most appropriate offer for your venue.

Please keep in mind that selecting one strong incentive appropriate to your corporate function client will have more potency that a string of smaller incentives.

CHRISTMAS BANQUET PACKAGE:
DETAILS: Some employers may choose to book a sit down dinner for their employees. Consider designing a special Christmas banquet menu. Please speak directly with Adam Galway for menu design.

You may wish to accompany this special menu with a complimentary beer or wine for all guests as a promotional incentive.

COST TO A&M: Nil. Your banquet should be costed appropriately to suit your target Function Food GP% target.

Suggested marketing initiatives are outlined below. Not all will be appropriate to your venue, however please suggest as many options as you feel appropriate in you promotion proposal

REQUIRED IN YOUR A&M PROPOSAL:
  • Proposed Marketing Activity for the promotion.
  • Time frames of your promotion/s including:
    - When the offer can be claimed by booking
    - When the offer can be redeemed (period during which the function needs to be booked).
  • Any additional activity you may wish to include outside of the suggested mechanics.

USEFUL TIPS:

  • Contact all previous function clients with the promotional offer. Make sure you have the collateral ready at hand to send to the contact.

  • Ensure you are actively developing your business database and updating current contacts. Every past function client should be added to your business database.

  • This Christmas function push should go hand in hand with direct sales activity, including cold/warm calling. Set aside an allocated amount of time, at a time most appropriate to your target audience (traditional office hours, not lunch time).

  • Contact your local businesses and inform them of the promotional offer.

  • Ensure that everyone handling function enquiries is up to speed with the promotion.

  • Consider External banners/external advertising to ensure that the promotion reaches its audience.
